Complete Visa Document Preparation Guide for Pakistani Applicants — File Formats, Sizes & Tools (2026)

A colleague applied for a UK visitor visa last year. She spent two weeks gathering documents — bank statements, employment letter, property records, travel history, sponsor letter. She went to a visa consultant who charged Rs. 15,000 to "prepare the file." What she got back was her documents photocopied and placed in a plastic folder. The actual digital submission she had to do herself through the UKVI online portal — and that is where everything went wrong.

Her passport photo was in HEIC format (iPhone default). Her bank statement PDF was 18MB. Her employment letter scanned from a phone was 9MB. The UKVI portal rejected the photo outright. The other documents uploaded but she did not receive confirmation that they had been received properly. Her application was marked incomplete.

Every one of these problems is a technical document preparation problem — not a visa eligibility problem. This guide fixes all of them.

The Core Problem With Pakistani Visa Applications

Pakistani applicants face a specific technical challenge that most Western applicants do not:

We generate documents differently. A UK applicant's bank statement arrives as a clean digital PDF via online banking. A Pakistani applicant's bank statement is often printed by a bank branch and manually scanned — a 6-page statement scanned at 300 DPI becomes a 15–25MB file.

Our phones produce HEIC photos. iPhones — increasingly common in Pakistan — produce HEIC format photos by default. Every major visa portal specifies JPEG. The portal either rejects HEIC outright or uploads it in a broken state that looks fine on your end but cannot be viewed on the visa officer's end.

Portal size limits are non-negotiable. UKVI has a 10MB limit per document. UAE ICP and Schengen VFS portals have tighter limits of 2–5MB. A raw scanned document almost always exceeds these.

The solution is a simple 15-minute document preparation workflow before any portal submission.

Three things that get passport photos rejected in every country:

  1. Wrong format — HEIC from an iPhone. Fix: utilvox.com/tools/heic-to-jpg
  2. Wrong background colour — Fix: utilvox.com/tools/remove-background, then place correct background colour in Canva
  3. Wrong dimensions or file size — Fix: utilvox.com/tools/image-resizer + utilvox.com/tools/image-compressor

UK Visa (UKVI) — Document Preparation Guide

UKVI's online portal has the following technical requirements:

  • Maximum file size: 10MB per document
  • Accepted formats: JPEG, PNG, PDF
  • Passport photo: JPEG only, plain light grey or cream background, minimum 600 × 750 pixels

Standard document set for UK visitor visa from Pakistan:

  • Last 6 months bank statements — typically printed by bank branch, scanned
  • Salary slips or business income proof
  • Employment letter on company letterhead
  • Business registration (if self-employed)
  • Leave approval letter
  • Flight itinerary and hotel booking
  • CNIC
  • Property ownership or tenancy agreement

Compression workflow for UKVI:

  1. Upload to utilvox.com/tools/pdf-compress
  2. Use High compression level
  3. Target: under 5MB per document
  4. For very long documents (40+ pages), split into logical sections using utilvox.com/tools/pdf-split before compressing

Typical results: a 25MB scanned bank statement compresses to 1.5–2.5MB at High compression. Fully readable for document review.

UAE Visa — Document Preparation Guide

UAE ICP portal file requirements:

  • Maximum file size: 5MB per document
  • Accepted formats: PDF, JPG
  • Passport photo: White background, 200 × 200 px minimum, JPEG

The UAE photo workflow:

  1. Take a photo against a white background
  2. If iPhone: convert HEIC to JPG → utilvox.com/tools/heic-to-jpg
  3. Remove background and replace with white → utilvox.com/tools/remove-background
  4. Resize to the required dimensions → utilvox.com/tools/image-resizer
  5. Compress to under 2MB → utilvox.com/tools/image-compressor

Schengen Visa (VFS Pakistan) — Document Preparation Guide

VFS portal file requirements:

  • Maximum file size: 2–4MB per document
  • Accepted formats: PDF, JPG
  • Passport photo: White or off-white background, 35 × 45mm

A full Schengen application from Pakistan typically includes:

  • Schengen application form
  • Passport copies (current and previous)
  • CNIC copy
  • 3 months bank statements
  • 3 months salary slips
  • Employment letter
  • Income tax return
  • Property documents
  • Hotel bookings and travel itinerary
  • Travel insurance policy
  • Sponsor invitation letter (if applicable)

With 2MB per document limits, every scanned document needs compression before your VFS appointment.

Saudi Arabia Visa — Document Preparation Guide

Saudi visa photo requirement: White background, 4×6 cm, JPG, under 2MB.

For long bank statements over the 2MB limit after compression:

  1. Compress at High level first
  2. If still over 2MB, split into two sections using utilvox.com/tools/pdf-split
  3. Upload as two separate documents if the portal allows

Canada Visa (IRCC) — Document Preparation Guide

IRCC photo requirements:

  • White background
  • 50 × 70mm physical size
  • Digital: minimum 420 × 560 pixels, maximum 1800 × 2400 pixels
  • File size: minimum 60KB, maximum 4MB
  • Must be taken within the last 6 months
  • JPEG format only

For Pakistani applicants using iPhone photos: always convert HEIC to JPG before attempting IRCC photo upload.

The Universal Visa Document Preparation Workflow

For photos:

  1. Check format — must be JPEG (convert HEIC if needed)
  2. Check background colour — must match visa country requirement
  3. Check dimensions — resize to specified pixel dimensions
  4. Check file size — compress to within the specified range
  5. Verify face covers 70–80% of the frame, eyes open, neutral expression

For PDF documents:

  1. Check if password-protected — remove if needed: utilvox.com/tools/pdf-unlock
  2. Check file size — compress if over the portal's limit
  3. Check that all pages are included and in the right order
  4. Check that text is readable after compression (zoom to 100% on one page)

For combined document sets:

  1. Compress each document individually first
  2. If portal requires one combined PDF, merge after compressing: utilvox.com/tools/pdf-merge
  3. Verify the merged file is under the total limit before uploading

Frequently Asked Questions

Can I use a digitally edited photo for a visa application?

Automated photo editing (background removal, brightness adjustment) is generally accepted for digital portal submissions. What is not acceptable: editing your facial features, adding a background that does not meet requirements, or using a photo that does not look like you.

My visa was rejected — could the document quality have been a reason?

Document quality issues (unreadable scans, missing pages, wrong format) can result in a request for additional documents or outright rejection. If your visa was refused on grounds of insufficient financial evidence but you submitted bank statements, verify those statements actually uploaded correctly.

Do I need to print and sign any documents for online applications?

Some applications (DS-160 for USA, certain Schengen forms) require a printed, signed confirmation page brought to the interview even if the main application is online. Check the specific requirements for your visa type.

What do I do if the portal keeps rejecting my photo?

Try these in order: (1) Confirm the format is JPEG. (2) Confirm the background is the exact colour required. (3) Confirm the dimensions are within the specified range. (4) Confirm the file size is within the range. (5) Try a different browser.

Should I use a visa photo from a studio or take my own?

Both work for digital submissions. Studio photos are professionally taken and suitable for applications requiring a physical printed photo. For purely digital submissions through VFS, UKVI, or UAE ICP, a well-taken home photo that meets the technical requirements is accepted.
