Prepare Photos and PDFs for Online Forms: Crop, Resize, Convert
A practical workflow for checking portal requirements, cropping and resizing a photo, and converting images or screenshots to PDF without guessing specifications.
Online application portals can request a photo with exact pixel dimensions, a maximum file size, a particular image format, or a PDF containing several pages. Requirements differ between agencies and can change, so start with the instructions on the portal you are submitting to.
Check the portal requirements first
Write down the requested format, dimensions or aspect ratio, file-size limit, page size, and whether multiple images belong in one document. Do not rely on a specification from another agency or an old blog post. If a requirement is unclear, check the portal’s current help page.
Crop and resize a photo
- Choose a clear original image with enough resolution for the target.
- Use the Image Cropper to keep the required subject and aspect ratio inside the frame.
- Use the Image Resizer to set the exact pixel dimensions after cropping. Resizing alone does not change which parts of the photo are visible.
- Save in the file type the portal accepts. If it specifies a size limit, check the output file size separately with the Image Compressor.
Convert images or screenshots to PDF
For a single photo, use JPG to PDF and choose the page layout the form requires. To turn a screen capture into a document, use Screenshot to PDF. Open the result before upload and check page order, orientation, margins, and legibility.
Final checks before submission
- Confirm the output opens and is not blank or sideways.
- Check that text and faces remain readable at normal zoom.
- Verify that the exact current portal limit is met.
- Use a clear filename and keep the original file until the portal accepts the upload.
These tools prepare files; they cannot determine whether a particular government or business portal will accept a document. The portal’s own instructions are authoritative.
