Locking a PDF the Right Way
Two locks, two purposes
PDF protection is two separate mechanisms, and choosing the wrong one is common:
| Lock | What it controls | Use when |
|---|---|---|
| Open password (user password) | Whether the file opens at all | Salary slips, medical records, contracts in transit |
| Permissions password (owner) | Printing, copying, editing after opening | Reports you want read but not modified |
| Both together | Opening AND what's allowed after | Sensitive documents going outside the organization |
The password is the whole defense
Modern PDF encryption (AES-256) is effectively unbreakable — but only as strong as the password. “123456” or a birthday turns military-grade encryption into a speed bump for guessing software. Use a generated password from the password generator, and send it through a different channel than the file: document by email, password by WhatsApp or phone. Emailing both together protects against nobody.
Protection in the document workflow
Protect last: editing, merging and compressing all fail or complain on locked files, so finish the document first. If you receive your own files locked (bank statements, HR slips) and the password ritual is slowing you down, the unlock tool removes protection you have the password for. Signed contracts often get protected right after signing to freeze the executed copy.
