How to OCR a Scanned PDF and Make Its Text Searchable

Understand OCR, extract text from scanned PDF pages, review recognition errors, and create a searchable PDF when the scan needs a text layer.

A scanned PDF may contain page images rather than selectable characters. Optical character recognition (OCR) analyzes those images and produces text that can be searched, copied, or placed in a text layer.

Extract text from a scanned PDF

  1. Open UtilVox PDF OCR and select the scan or image you need to process.
  2. Choose the language or script that best matches the document when the tool offers that option.
  3. Run recognition and review the output page by page, especially numbers, names, tables, and low-contrast text.
  4. Copy or download the extracted text, or create a searchable PDF if that output option is available.

Improve OCR results

Use a clean, straight scan with legible characters and enough contrast. Skewed pages, handwriting, low resolution, shadows, stamps, and multi-column layouts can lead to recognition errors. OCR output is a draft transcription; compare important passages against the original page before relying on them.

OCR is not the same as editing a PDF

OCR identifies text in page images. It does not guarantee perfect formatting or reconstruct every table, diagram, or handwritten note. Keep the original scan when fidelity matters, and store the extracted text separately if it will be used for legal, financial, or archival decisions.

For a document you are authorized to process, use the PDF OCR tool. If you only need selected pages in a new file, use the PDF Page Extractor.
